Job Overview:
We are a boutique services consultancy seeking a detail-oriented Office Admin Generalist to manage various administrative tasks and support business functions. This is a part-time position with a focus on end-of-week and end-of-month activities. The ideal candidate will be responsible for processing timesheets, invoices, managing contracts, and handling payments. Basic computer skills and experience with Microsoft Word, Excel, and Google Docs are required.
Key Responsibilities:
- Administrative Support: Perform general administrative tasks, such as handling correspondence, scheduling, and filing.
- Timesheet & Invoice Processing: Manage the end-of-week and end-of-month activities related to receiving and processing timesheets and invoices for accurate record-keeping.
- Payment Reconciliation: Reconcile outgoing and incoming payments to ensure financial accuracy and resolve discrepancies.
- Contract Management: Handle contract paperwork processes, including drafting, reviewing, and organizing contractual documents.
- Documentation & Record-Keeping: Maintain and update records using Microsoft Word, Excel, and Google Docs.
- Customer Communication: Communicate effectively with customers regarding inquiries, payments, and other business-related matters.
- Software Proficiency: Use web-based tools to manage documents, process information, and ensure data accuracy.
Preferred Qualifications:
- Previous experience in an administrative or office management role.
- Proficiency in Microsoft Word, Excel, and Google Docs.
- Strong organizational skills with attention to detail.
- Ability to work independently and manage time effectively.
- Experience with web-based tools for data entry and management.
- Excellent communication skills, both verbal and written.
- Experience in customer communication is a plus.
